1) Who we are (Data Controller)

Rob Rudge Executive Performance Coaching (“we”, “us”, “our”) provides non-medical performance coaching, training and related services to senior professionals and executives (including leaders in tech, legal and finance).

This policy explains how we collect, use, share, and protect your information when you visit our websites, landing pages, and funnels, sign up for content, or book a call or coaching engagement.

We do not provide medical, therapeutic or psychological treatment. All services are non-medical performance coaching and training.


2) Scope & applicable laws

We are established in the UK and primarily comply with UK GDPR and PECR. For visitors from the US, we also address U.S. state privacy laws (including California CCPA/CPRA; see §13). If these laws conflict, the protections most favourable to you apply.

This policy applies when you:

  • Visit our websites, landing pages, funnels, or scheduling links

  • Opt in to receive content or resources

  • Apply for or book a call

  • Become a coaching client


3) What we collect

3.1 Information you give us

  • Contact details: name, email address, phone number (optional but often requested for reminders/WhatsApp).

  • Professional information: current role/title, organisation, industry/sector, seniority, approximate compensation or revenue band, goals, bottlenecks, and high-pressure situations (from application forms, questionnaires and onboarding).

  • Calendar details: your selected time zone and chosen time slot when you book a call or session.

  • Coaching-related information: information you choose to share about your work context, challenges, objectives, and progress during calls, forms and emails.

  • Communications: emails, messages, and call notes. If we record a call, we will tell you at the start and you may decline.

3.2 Information we collect automatically

When you use our sites/pages, we may automatically collect:

  • Usage/Device data: IP address, device IDs, browser type/version, pages viewed, UTM parameters, time on page, referrer/exit pages, and general usage patterns.

  • Event data: opt-ins, application starts/submissions, bookings, video engagement (e.g., “VSL watched”), and similar funnel events.

3.3 Cookies & similar tech

We use cookies, pixels (e.g., Meta Pixel/CAPI), and local storage to operate our site, understand performance, and run ads. See §10 (Cookies) for details and your choices.


4) Why we use your data (purposes) & our legal bases (UK GDPR)

Legitimate interests test:

We rely on this where our interests (e.g., running a safe, effective site and business) do not override your rights and freedoms. You can object at any time (see §11).


5) How we share information

We do not sell your personal information for money.

We may share your data with:

  • Service providers (processors):

    • Website hosting/CDN

    • CRM & funnel software

    • Email/SMS tools

    • Calendar and meeting tools (e.g., Google Calendar, Zoom)

    • Ad platforms (e.g., Meta) for measurement/retargeting

    • Analytics and consent-management tools

  • Ad/analytics partners:

    • Via pixels/CAPI and similar when you consent (UK/EU) or where permitted by law.

  • Professional advisors & authorities:

    • Lawyers, accountants, regulators, law enforcement, or other authorities where required by law or necessary to protect rights, safety, and security.

We sign data processing agreements (DPAs) with our processors where required.


6) International transfers

We may transfer data outside the UK/EEA (e.g., to the US) where our providers are located. We use approved safeguards such as the UK IDTA and/or EU Standard Contractual Clauses (SCCs), and supplementary measures where appropriate.

Copies of relevant safeguards are available on request (with redactions where needed for security and commercial sensitivity).


7) How long we keep data (retention)

We keep personal data no longer than necessary for the purposes described above. Typical retention periods:

  • Leads/contacts: up to 24 months after your last interaction (or earlier if you unsubscribe and request deletion).

  • Application responses: up to 24 months (for audit, consistency, and to understand who our services are and aren’t right for).

  • Calendar & reminder data: 12–24 months.

  • Coaching notes: typically up to 36 months after the end of an engagement, unless law or disputes require longer.

  • Ad/analytics event data: typically up to 13 months (provider defaults), unless law or disputes require longer.

After these periods, we delete or anonymise the data where reasonably practicable.


8) Security

We use reasonable technical and organisational measures to protect your data, including encryption in transit, access controls, least-privilege access, and periodic reviews.

No method of transmission or storage is 100% secure. If we become aware of a personal data breach that is likely to result in a high risk to your rights and freedoms, we will notify you and the relevant authorities where required.


9) Children

Our services are aimed at adults, particularly senior professionals and executives. We do not knowingly collect data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.


10) Cookies & tracking technologies

10.1 Categories we use

  • Strictly necessary (essential):
    Site operation, security, form submissions, cookie preference storage, load balancing.

  • Performance/analytics:
    Understand visits, video views, and funnel metrics so we can improve content and pages.

  • Advertising/retargeting:
    Measure ad performance and show ads to visitors who may be interested in our services (e.g., via Meta Pixel/CAPI).

10.2 Your choices

  • UK/EU:
    Under PECR/UK GDPR, non-essential cookies require prior consent. Our cookie banner lets you:

    • Accept all

    • Reject non-essential

    • Manage preferences

    You can change your choice anytime via the “Cookie Settings” link (where available).

  • US:
    Where required, you can opt out of “sale/sharing” for cross-context behavioural advertising via a “Do Not Sell or Share My Personal Information” link (if present). We honour Global Privacy Control (GPC) signals where feasible.

  • Browsers:
    You can block/delete cookies via your browser settings. This may affect some site features.

11) Your rights (UK & EU)

You have rights over your personal data, including the right to:

  • Access a copy of your data

  • Correct inaccurate data

  • Erase your data (“right to be forgotten”)

  • Restrict processing in certain circumstances

  • Object to processing (including profiling and direct marketing)

  • Withdraw consent where we rely on it

  • Data portability (receive your data in a commonly used format)

You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk or your local supervisory authority.


12) Automated decision-making / profiling

We do not make decisions with legal or similarly significant effects based solely on automated processing.

We may use basic profiling (e.g., analytics segments, ad audiences, “has watched VSL”) to understand performance and improve relevance of our communications and ads. You can object at any time by contacting us or using unsubscribe/opt-out mechanisms.


13) US State Privacy Disclosures (including California CCPA/CPRA)

For California residents (and similarly for CO/CT/VA/UT where applicable):

  • Categories collected:
    Identifiers (name, email, IP), commercial information (booking/application activity, engagement with our content), internet/network activity (pages/events), and inferences (basic audience segments like “interested in performance coaching”).

  • Purposes & sources:
    See §4 for purposes. Sources include you (forms, calls), your devices (cookies, pixels), and our ad/analytics partners.

  • Recipients:
    Service providers (hosting, CRM, email, scheduling, ad platforms) and ad/analytics partners.

  • Sale/Share:
    We do not sell personal information for money. We may “share” identifiers and internet activity for cross-context behavioural advertising via pixels. You can opt out via any “Do Not Sell or Share My Personal Information” link we provide and by enabling Global Privacy Control (GPC).

  • Rights:
    Right to know/access, correct, delete, opt-out of sale/share, limit use of sensitive information (we do not collect sensitive categories as defined by CCPA), and non-discrimination for exercising your rights.

  • How to exercise:
    Email [email protected] or use any privacy links provided in our footer or banners. We will verify your request (and may need additional information). You may use an authorised agent; we may request proof of authorisation.


14) Marketing choices

  • Email/SMS:
    You can unsubscribe at any time via the link in our messages or by contacting us.

  • Ads:
    You can use our Cookie Settings (UK/EU), any “Do Not Sell/Share” links (US), and platform settings (e.g., Meta ad preferences) to limit personalised ads.


15) Changes to this policy

We may update this Privacy Policy from time to time. We will post any changes here with a new “Last updated” date. If changes materially affect you, we may also notify you via email or on-site banners.
